Prep Room

Interview preparation software for executive search, built so every interview makes the next one better.

Prep Room is used by recruiters at an executive search firm that places actuaries and analytics leaders with insurers. It organises the recruiter’s work around one loop: prepare, interview, write up, learn. Every round a candidate sits is written up. The useful lessons are kept, and those lessons feed the preparation for every later round.

What it does

Runs the recruiter’s desk

  • Clients and searches are shared across the firm, so every recruiter sees and corrects the same records.
  • Each recruiter keeps her own people, candidacies and interview rounds, from first introduction to offer.
  • It flags rounds that have happened but not been written up, so nothing goes stale.
  • A firm overview shows the live pipeline, each recruiter’s workload and recent placements. It shows counts only, never comparisons of people.

Prepares candidates with AI agents

  • Ten specialist agents per candidacy, in four phases:
  • Research: company, industry, and the role and job description.
  • Position: resume positioning, a story bank, and technical subject-matter prep.
  • Practice: mock interviews, a red-team review that finds the gaps an interviewer will press on, and a one-page prep packet for interview morning.
  • After: a follow-up note after the round.
  • Every agent works from the candidate’s own sources and from the lessons banked in earlier rounds.
  • Each run states what it assumed and what to check before the interview.
  • A prep sheet gives the recruiter her own script for the call before each round.

Turns a round into a write-up and a letter

  • The recruiter writes freely in three boxes. AI sorts her account into sections and proposes lessons from her private notes.
  • She decides what the candidate sees, one note at a time. Every note starts private, and there is deliberately no “share all”.
  • The shared notes become lessons in the candidate’s ledger, and that ledger feeds every later round of prep.
  • AI then turns the write-up into a letter to the candidate. The recruiter copies it into her own email; the app never sends anything itself.

Protects privacy by design

  • The recruiter’s confidential notes never leave the app and are never given to the AI that writes the letter.
  • A guard checks every letter against the notes she kept private. If any five words in a row match, it refuses to save or show the text.
  • Database-level security rules mean each recruiter reaches only her own people and write-ups.
  • Sign-in is by emailed link, with no passwords.

Draws a regulatory line on purpose

  • Prep Room prepares candidates. It never scores, ranks or shortlists them, and never gives a hiring recommendation. That keeps it outside the high-risk AI category the EU AI Act sets for hiring decisions.
  • Lists of people are ordered by time and say so on screen.

How it is built

Status
LiveThe full recruiter loop above. Every screen works on a phone as well as a desk, through a phone tab bar.
In progressA navigation and workflow redesign. It adds a daily to-do desk, a page for each person, a contact log for nudges and sent emails, and drafts that are never lost.
PlannedAn app for candidates, with their own prep, their lessons, and a private reflection they choose to share item by item.
